AI Privacy Policy

This AI Privacy Policy explains how Propel uses artificial intelligence in its platform, which AI provider it works with, how Client Data is handled during AI-powered interactions, and what protections are in place. It should be read alongside our Privacy Policy and Terms of Service.
AI Features in Propel
Propel uses AI to enhance how organisations capture, access, and reuse knowledge. The AI-powered features currently available in the platform are:
- Automated summaries: AI generates concise summaries of learning stories and uploaded documents, making it faster to extract key insights from longer content.
- Chat with your knowledge base: Users can ask questions in natural language and receive answers drawn exclusively from their organisation's own content stored in Propel. No external knowledge sources or publicly available information are used in these responses.
AI Provider
Propel's AI features are powered by Claude, developed by Anthropic, accessed via a secure API connection. Anthropic is a safety-focused AI company and its API terms include strong data protection commitments.
When a user triggers an AI feature, the relevant content is sent to Anthropic's API for processing and the response is returned to the Propel platform. This processing happens in real time and is subject to the terms set out in this policy.
How Client Data is Used in AI Processing
When AI features are used, relevant portions of Client Data (such as a learning story or document) are passed to the Anthropic API to generate a response. The following principles govern this processing:
- Purpose limitation: Client Data is sent to the AI only to perform the specific feature requested by the user, such as generating a summary or answering a question.
- No external knowledge: AI responses within Propel are grounded solely in the Client's own content. The AI does not draw on external sources, public datasets, or other organisations' data, unless the client requests that the model include its own general knowledge.
- No cross-client data sharing: Each organisation's data is processed in isolation. No Client Data is shared with, or accessible to, any other Propel client.
Client Data is Not Used to Train AI Models
Propel does not use Client Data to train, fine-tune, or improve any AI model, including Claude. Anthropic's API terms confirm that data submitted via the API is not used to train Anthropic's models. This means:
- Your organisation's knowledge, programme data, and learning content remain entirely your own.
- No content submitted through Propel's AI features will appear in responses to other users or organisations.
- Propel does not retain AI inputs or outputs beyond what is necessary to deliver the feature in the moment.
Data Security in AI Processing
All data transmitted to and from Anthropic's API is encrypted in transit. Propel applies the same access controls and security standards to AI-related processing as it does to all other Client Data, as described in the Privacy Policy.
Propel recommends that Clients avoid submitting highly sensitive personal data (such as names, identification numbers, or health information of individuals) through AI features unless it is necessary for the intended use.
Human Oversight
AI-generated content in Propel, including summaries and chat responses, is intended to support human decision-making, not replace it. Users are encouraged to review AI outputs critically and to verify information before acting on it. Propel does not represent AI-generated content as a substitute for professional judgement.
Your Rights in Relation to AI Processing
Clients and users retain all rights over their data as described in the Privacy Policy. In relation to AI processing specifically:
- You can request information about how your data has been used in AI features.
- You can request deletion of your Client Data from the Propel platform, which will remove it from future AI processing.
- If you have concerns about a specific AI output, you can contact Propel to raise them.
Updates to This Policy
As AI capabilities in Propel evolve, this policy will be updated to reflect any changes in how AI is used or which providers are involved. Material changes will be communicated to Clients in advance. Continued use of AI features following an update constitutes acceptance of the revised policy.
